Privacy Policy

Last updated: 16 October 2026

Vutomi Security Service & Training ("VSST", "we", "us") respects your privacy. This policy explains how we handle personal information shared with us through this website, with reference to our obligations under the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

Vutomi Security Service & Training is the responsible party for personal information processed under this policy.

2. Information we collect

We collect only the information you choose to give us when you make an enquiry, complete the security assessment or request a quotation. Depending on the form, this may include:

  • your name, company or organisation, email address and telephone number;
  • your preferred contact method;
  • details about the property you want protected, such as its type, province, city or town and, optionally, its name;
  • the services you are interested in, the approximate site size, your main security concerns, your preferred start date and any notes you add;
  • for training enquiries, the training required, number of participants and preferred dates;
  • for job applications, your location, PSIRA registration status and grade, security experience, the roles you are interested in and anything you tell us about yourself. We use these only to consider you for suitable positions.

Please do not include sensitive details, such as alarm codes or detailed security vulnerabilities, in a website enquiry. We will discuss these with you securely during consultation.

Like most websites, our hosting provider may automatically record technical information such as your IP address, browser type and the pages you request, for security and to keep the site running. This website does not currently use analytics or advertising cookies.

3. How our website forms work

Our website does not store form submissions on a server. When you complete a form:

  • your answers to the security assessment are kept temporarily in your own browser tab (session storage), so they are not lost while you move between steps. They are removed when you close the tab or choose “Clear my answers”;
  • nothing is sent to us until you choose to send it, using your own email app or, where offered, WhatsApp. You can also copy or download the summary;
  • once you send it, we receive the information through that channel.

Our website loads fonts from Google Fonts, which means your browser connects to Google's servers. The address link on our contact page opens Google Maps only if you click it.

4. Why we use your information

We use your personal information to:

  • respond to your enquiry and communicate with you using your preferred contact method;
  • understand your security requirements, arrange a consultation or site assessment and prepare a quotation;
  • provide the services or training you request, if you become a client;
  • meet our legal and regulatory obligations.

We process this information because you have consented to it, because it is necessary to take steps you have asked for before entering into an agreement with us, or because it is required by law. We do not sell your personal information or use it for unrelated marketing without your permission.

5. Who we share it with

We share personal information only where necessary, for example with:

  • service providers that support our business, such as email and IT providers, who must protect it;
  • regulators, law-enforcement agencies or other parties where the law requires it.

If you choose to contact us by WhatsApp, your message is also subject to WhatsApp's own privacy terms.

6. Information sent outside South Africa

Some of the email, messaging and hosting services involved may store or process information outside South Africa. Where this happens, we aim to use providers that are subject to adequate data-protection laws or agreements, as POPIA requires.

7. How long we keep it

We keep personal information only for as long as we need it for the purpose it was collected, or for as long as the law requires. Enquiries that do not lead to an engagement are deleted once they are no longer needed.

8. How we protect it

We take reasonable technical and organisational measures to protect personal information against loss, damage and unauthorised access. Confidentiality of client information, site details and sensitive matters is part of our professional standards.

9. Your rights

Subject to POPIA, you may:

  • ask whether we hold personal information about you and request access to it;
  • ask us to correct or delete information that is inaccurate, out of date or no longer needed;
  • object to the processing of your information, or withdraw your consent at any time (this does not affect processing that has already taken place);
  • lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).

10. Contacting our Information Officer

To exercise your rights or ask a question about this policy, contact Mr. Anton Prinsloo at info@vsstgroup.co.za or 011 363 0007. We may need to verify your identity before acting on a request.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page, with the date it was last updated.
